Business Rules
- Select a Tax Year and Company, then click the Retrieve toolbar button. You will all lessees or lessors that are linked
to this company.
- If there are multiple invoices for a lessee, you will see multiple rows with different invoice numbers.
- Click on the lessee row you want. If you want to do multiple lessees, see below.
- If there is already an invoice number on this line, clicking the Preview Invoice
button will show you the details of this existing invoice.
- If there is already an invoice number on this line, checking the Recreate check box and then
clicking the Preview Invoice button will generate a preview of what the new invoice would look like
by retrieving all entities this lessee is linked to in the Entity Maintenance window.
The invoice number will be Preview because there is no invoice created yet.
- If there are no invoice details, clicking the Preview Invoice button will generate a preview of what
the new invoice would look like by retrieving all entities this lessee is linked to in the Entity Maintenance window.

- Clicking the Generate Invoice button will generate a new invoice number and create an invoice in the system
for this lessee.
- If the Format is set to Print Only, clicking the Generate Invoice button will print this invoice.
- If the Format is set to Print & Excel File, clicking the Generate Invoice button will print this
invoice and create 2 Excel files, one for the Summary page (named invoice number + lessee code + sum,
e.g. FMT2001 S0000005 018721 sum) and one for the Detail page (named invoice number + lessee code + det,
e.g. FMT2001 S0000005 018721 det). These Excel files will be created in the directory you choose.
- If the Format is set to Excel File, clicking the Generate Invoice button will NOT print this
invoice, but will create 2 Excel files, one for the Summary page (named invoice number + lessee code + sum,
e.g. FMT2001 S0000005 018721 sum) and one for the Detail page (named invoice number + lessee code + det,
e.g. FMT2001 S0000005 018721 det). These Excel files will be created in the directory you choose.
- When you choose Company, that company name and address will be who the invoice comes from. If you want to create an invoice
from another company, choose that company by selecting them in the Invoicer list box. Whoever is in the Invoicer
list box will be the company the invoice comes from. If the Invoicer is blank, the invoice will come from the company
selected in the Company list box.
This enables you to invoice from various companies and have all these invoices still linked to the company in the
Company list box for financial booking purposes ( GL / AR).
- The Invoice Type list box is defaulted to Invoices. There are 2 choices here:
Invoices - a normal invoice showing all entities a lessee is linked to.
Rebill Invoices - rebill invoices are usually an invoice sent out after the initial invoice because some errors
were found on the original. If an entity for a lessee is flagged as Rebill in the Entity Maintenance window, when you
print a Rebill Invoice, you will see 3 detail lines for the entity, the original from the previous invoice, a
reverse of the previous invoice amount, and the new charge amount for this entity. These entries are also flagged
by 3 asterisks (***) on the invoice, so changes can be found easily.
The Rebill Invoice for a lessee prints all entities the lessee is linked to, not just the entities that are flagged
as rebill. It is a complete invoice with reversals in it.
- Printing Multiple Lessees- You can high lite more than one lessee at a time so you can bulk print invoices.
To do this, click on the first lessee you want, hold the Shift key down and then click the last lessee row or you can
use CTRL click to high lite only specific rows.
