EDI Viewer - Validating the June Invoice in the Annual Proration Screen


The June Invoice is the first time GCA credits for last year's production appear on your invoice. We use this invoice month to reverse our monthly estimates (charge codes 030, 040 and 044 on the invoice) accrued throughout the last year, in order to book the actual amounts (charge codes 080, 090 and 095 on the invoice).

Since we are booking a full, to-date Crown Share amount and reversing the previously booked monthly entries, our Adjustment Amounts entered for this Invoice section of the Annual Proration screen will not balance to the Invoice Amounts section like it should on other months:

In the example above, the CCA Adjustment on our invoice is $8,204.49, but our Adjustment Amounts entered for this Invoice (which are pulled in from the Crown Share .csv files) total to $108,204.49. During a typical month, we'd expect the sum of our Annual CCA adjustments entered for this invoice to be equal to the Invoice Amount. Note that the difference between the Invoice Amount and our CCA Adjustment entered for this Invoice is equal to the 2015 Monthly Proration totals ($100,000.00).

The June invoice is the first time the production year 2015 has annual adjustments made to it. As a result, EDI Viewer wants to book the full Crown Share amount to date ($107,204.49), and reverse the monthly estimates made for the year as December 31st entries ($100,000.00).

Booking 2015's full Crown Share amount ($107,204.49) and reversing its Monthly Estimates ($100,000.00) equals $7,204.49. This amount, plus the $1,000 in adjustments coming from production years 2012-2014 is $8,204.49, which means we are balancing to the Invoice Amount -- even though the adjustments don't match up as nicely as they would for a typical month.



To Summarize, in order to balance to the Invoice Amounts on a June invoice, we must also substract the most current production year's Monthly Prorated Amounts:

  • Invoice Amount = Sum of Annual Adjustments - Sum of Last Year's Monthly Prorations
  • $8,204.49 = $108,204.49 - $100,000.00
